1. Prepare yourself
Very important that before the conversation, take time to prepare yourself emotionally and mentally. Be clear about what you want to achieve from the conversation. If you know the person well then consider their perspective and try to anticipate their reactions.
2. Choose the right time and place
Find an appropriate time and place to have the conversation. Select an environment where you both feel comfortable and can have privacy.
3. Use “I” statements and active listening
During the conversation, use “I” statements to express your thoughts and feelings instead of making accusatory or judgmental statements. This helps to avoid defensiveness and promotes open communication. Actively listen to the other person’s perspective without interrupting.
4. Stay calm, respectful and professional
Try your best to stay calm and composed, even if the conversation becomes heated or emotional. Keep your tone of voice and body language respectful. Avoid becoming defensive or attacking the other person.
5. Seek and agree outcomes or solutions
Focus on finding solutions or compromises that address the underlying issues. Aim for a mutually beneficial outcome that respects the needs and concerns of both parties. Agree follow up actions and if needed send over notes from the conversation.
